Qualifications
- 3–5+ years of experience in service coordination, dispatch, customer service, office administration, or operations support
- 3–5+ years of experience in accounts receivable, invoicing, reconciliation, bookkeeping, or finance-focused administration
- Background in telecommunications, trade services, facilities management, construction, or field service industries highly preferred
- Proven ability to manage high volumes of inbound calls, emails, customer requests, and operational tasks simultaneously
- Experience preparing quotations, invoices, and reconciliations with strong accuracy and attention to detail
- Experience using CRM systems, job management platforms, client portals, and web-based workflow tools
- Proficiency in Microsoft Office applications, Slack, and digital communication platforms
- Strong multitasking, coordination, and prioritization skills across operations and finance administration
- Clear and professional English communication skills for customer and stakeholder coordination
- Experience coordinating technicians, site access, work approvals, or property-related service requests is an advantage
Responsibilities
Customer Service & Coordination
- Handle inbound enquiries through calls, emails, and online portals
- Schedule service appointments with customers, site contacts, and stakeholders
- Resolve customer concerns, complaints, and service-related issues professionally
Job & Portal Management
- Verify technician before-and-after photos and upload documentation to client portals
- Enter and update quotes, invoices, and job details within client systems
- Reconcile claims against completed jobs and accurately record outcomes
- Prepare and send quotations and invoices based on technician reports
Strata & Property Coordination
- Coordinate jobs with strata managers and property managers via phone and email
- Arrange site access with tenants, building managers, and onsite contacts
- Obtain client approvals for additional onsite work requests in real time
Accounts Receivable
- Conduct weekly and monthly follow-ups on outstanding invoices
- Respond to customer enquiries regarding pricing and invoice details
Office Administration
- Maintain filing systems, correspondence, and document control processes
- Perform general administrative and office support duties as required
